Project Coordinator - Construction (General Job Description)

Overview
The Project Coordinator supports construction project teams by managing administrative tasks, maintaining project documentation, coordinating schedules, and ensuring efficient communication between stakeholders. This role plays a key part in keeping projects on track, within budget, and aligned with established timelines and quality standards.


Key Responsibilities

  • Project Documentation & Reporting

    • Maintain and organize project files, drawings, submittals, RFIs, change orders, and closeout documents.
    • Prepare progress reports, meeting minutes, and project updates for internal and external stakeholders.
    • Assist in drafting project correspondence and tracking required approvals.
  • Scheduling & Coordination

    • Coordinate project schedules, meetings, and site visits with contractors, subcontractors, vendors, inspectors, and internal teams.
    • Monitor timelines, flag schedule risks, and support the project manager in developing recovery plans.
    • Help ensure materials, equipment, and resources arrive on time by communicating with suppliers and field teams.
  • Financial & Contract Support

    • Assist in reviewing subcontractor invoices, purchase orders, and budget tracking reports.
    • Support project cost control processes, including tracking quantities, change orders, and budget adjustments.
    • Help prepare bid packages, collect quotes, and manage vendor documentation.
  • Communication & Stakeholder Support

    • Serve as a point of contact between office staff, field teams, subcontractors, and clients.
    • Coordinate project-related clarifications, distribute updated plans/specs, and ensure timely communication flow.
    • Support safety communication and ensure proper documentation is completed.
  • Quality & Compliance

    • Track compliance requirements such as permits, safety training, certifications, and inspections.
    • Assist in maintaining quality control documents and ensuring project procedures meet company and regulatory standards.

Skills & Qualifications

  • Experience in construction, engineering, or project administration.
  • Strong organizational and time-management skills; ability to prioritize multiple tasks.
  • Proficient in project management software, construction document control systems, and Microsoft Office tools.
  • Excellent communication and interpersonal skills.
  • Understanding of construction drawings, terminology, and workflows is preferred.
  • Ability to work collaboratively with project managers, superintendents, subcontractors, and clients.

Typical Education & Experience

  • Associate's or bachelor's degree in construction management, engineering, business, or related field (preferred but not always required).
  • 1-3+ years of experience in construction project coordination or construction administration.
